Before project commencement, deliverables, milestones, and scope specifications are finalized through written quotation agreements as outlined across our core digital agency solutions.

2. Web & Mobile App Development Milestones

Website design, custom WordPress engineering, Shopify setups, and mobile application builds follow a structured milestone schedule:

• Initial Commitment Deposit: Once project research, Figma UI/UX wireframing, or architecture design has begun, the initial deposit is non-refundable as it covers dedicated developer time and technical allocations.
• Mid-Project Milestones: Once a design or functional milestone is approved by the client in writing, the associated fees for that phase become final and non-refundable.
• Pre-Execution Cancellation: If a cancellation is requested prior to the commencement of any wireframing, design, or coding work (within 48 hours of contract signing), a full refund minus a 5% administrative transaction processing fee will be issued.

3. Digital Marketing & Media Buying (Meta & Google Ads)

Paid advertising management involves two distinct financial components:

• Agency Management Retainers: Monthly retainer fees cover active campaign architecture, daily optimization, negative keyword sculpting, and creative testing. Management retainers are billed in advance and are non-refundable once the billing cycle begins and ad campaigns are actively running.
• Retainer Termination: Ongoing monthly retainers may be canceled by providing a written 15-day notice before the next monthly billing date. No further charges will occur after the notice period concludes.

4. SEO & Google Business Profile Services

Search Engine Optimization (SEO) and Google Maps 3-Pack rankings depend on third-party algorithmic updates, regional competition, and Google compliance parameters.

While our methodology follows validated white-hat protocols proven across our delivered client case studies, no digital agency can legally guarantee specific #1 organic rankings within arbitrary dates. As our team invests immediate manual labor in directory citations, technical schema markup, and speed audits, SEO retainers are non-refundable once monthly hours are deployed.

5. Custom AI Solutions & Automation Pipelines

Custom WhatsApp AI Bots, vector knowledge base integrations, and webhook pipelines involve dedicated cloud provisioning and API architecture. Setup fees for completed and working custom software workflows are strictly non-refundable once deployed and handed over for client testing.

6. NEPTX Digital Academy & Educational Products

While we provide extensive free tutorials on our official NEPTX Digital Academy YouTube Channel, any paid digital courses, workshops, or downloadable intellectual property are subject to the following rules:

• Due to the immediate access nature of digital downloads, video modules, and templates, course enrollments are non-refundable once video lessons have been accessed or digital assets downloaded.
• Live cohort mentorships or scheduled 1-on-1 consultations can be rescheduled with 24 hours prior written notice, but cannot be refunded after the scheduled session time has passed.

7. Refund Processing & Dispute Escalation

If you believe an accounting error or duplicate transaction has occurred, you must submit a formal written inquiry containing your invoice number, contract copy, and payment receipt within 7 business days of the transaction date.

Approved refunds will be processed back to the original method of payment (Bank Transfer, UPI, or Credit Card) within 7 to 10 working days from the date of formal approval.
